The paradox of QBO time data
QuickBooks Online is where your time entries live. Every hour your team logs — by date, by customer, by employee, by service item — is stored there and faithfully recorded. In that sense, QBO is a goldmine of operational data.
The problem is retrieval. QBO's reporting tools are built around accounting workflows, not operational analysis. Running a time activity report gets you a list of entries. But answering straightforward management questions — how many hours did we log on this client this quarter, which project is consuming the most time, which employee logged the fewest hours last month — requires filters, date ranges, and often a pivot table export just to get to a usable number.
Most teams stop trying. They either run the same one or two canned reports they figured out years ago, or they export to Excel and build something themselves. Neither approach is sustainable, and the data ends up consulted less than it should be.
The questions that should be easy to answer
Here are the questions that come up regularly in operations and project management — and that QBO makes harder than they should be:
- How many hours did we log on Client X last month?
- Which project is closest to its budget limit right now?
- Who logged the most hours this quarter, and what were they working on?
- How much of last month's time was billable versus internal?
- Which employees are consistently logging fewer hours than expected?
- How much of our time went on reactive support versus planned project work?
None of these are exotic. They're the questions a team lead or operations manager asks monthly — sometimes weekly. But in QBO they each require navigating to the right report, applying the right filters, exporting, and manipulating the data. The result is that most teams answer these questions less frequently than they should, or not at all.
What syncing to Time On It unlocks

Employee Insights opens when you click any team member in Team Insights. It shows that person's time broken down by customer, by service item, and by work type tag — for the same date range you've already selected. This is where "who worked on what" gets answered.
Work type tags — splitting time within a client
One question that QBO can't answer at all without custom workarounds is: of the time we logged on a client, how much was planned project work and how much was unplanned reactive support?
Time On It addresses this with square-bracket tags. When team members prefix their time entry descriptions with a tag — like [Feature], [Support], [Advisory], or anything your team decides — the app picks this up automatically during sync. Every insight view then shows a by-tag breakdown alongside the totals.
This doesn't change how QBO records the entry, doesn't affect invoicing, and doesn't require any tool change for the team. It just means the operational data that was already implicit in your team's descriptions becomes explicit and queryable.
