Skip the export. Just ask.
Your accounting software knows what you've invoiced. Time On It knows where your team's hours went. Connect the two to your AI assistant and the questions you'd normally answer with a spreadsheet export take a few seconds instead.
Up-to-date answers
Before it answers, your assistant checks when your time was last synced. If it's more than an hour old, it pulls in the latest entries from QuickBooks Online first and tells you it's doing so. Every answer can say exactly how fresh the numbers are, so you're never working from last week's figures by accident.
Log time by chatting
Late timesheets are usually a friction problem. Your team can tell their AI assistant what they worked on, in their own words. It checks every entry against your rules and QuickBooks, shows a preview row by row, and only adds the time once they confirm. They're the same checks as a spreadsheet upload.
| Date | Fri 16 Oct |
|---|---|
| Hours | 1.5 |
| Employee | Sam Taylor |
| Customer | Meridian Health Alliance ⚠ You didn't say, so I chose this |
| Service item | QA & Testing |
| Class | 02 Client Projects |
| Billable | Yes |
| Description | Testing the new online booking form |
- Customer is a required field. I chose Meridian Health Alliance because the booking form is part of their website, and your entries this week used it too.
- Service item: "Testing" only matched one item, QA & Testing.
- No duplicates were found for that date, employee, customer and service item.
- Spell check found no problems.
Based on a real conversation in Claude, with names changed.
- ✓ Team members can only add their own time; owners and admins can add time for anyone
- ✓ Missing details are flagged before anything is added. You choose which details are required in Settings → Time Entry Rules
- ✓ Duplicates are caught, and every entry gets a clear Imported, Duplicate or Skipped result
What you can ask about
- ✓ Team hours: totals, the billable split, and who's short of their weekly target
- ✓ Customer hours for any date range
- ✓ Projects and retainers: hours used this period and across the whole contract, worked out exactly as on your Projects page
- ✓ Individual time entries, found by person, customer, service or description
- ✓ When your data was last synced, and the history of every sync
Safe, and in your control
Your assistant can read your time data and add new time entries once you confirm them. It can't change or delete existing entries, projects or anything else, in Time On It or in QuickBooks.
- ✓ Everyone connects as themselves, by signing in or with their own API key, and only to the company they choose
- ✓ Owners and admins choose what members can see: only their own time or the whole team's, and whether projects are visible
- ✓ Access stops the moment someone is removed from your company, and anyone can disconnect an app or revoke a key in Settings
- ✓ Syncing from your assistant never sends missing-time reminder emails to your staff
Works with the AI tools you already use
Time On It connects through the Model Context Protocol (MCP), the open standard AI assistants use to talk to other apps.
Claude and ChatGPT
