Connect to the client's QBO company. Time On It uses standard QBO OAuth — you select which company file to connect, and the template it generates is specific to that company: that client's employees, customers, and service items become the dropdown lists.

Send the template to your client. Or fill it yourself from the spreadsheet they emailed. Either way, the template locks names to what's in their QBO — no free-text entry that creates mismatches. Clients can fill it in Google Sheets and export as Excel before sending it back.

Upload and review results. The results screen shows how many rows were imported, how many were duplicates (skipped safely), and any that were skipped with the specific reason. Fix and re-upload if needed. Disconnect, connect the next client's company, repeat.

Company-specific templates
Each QBO company you connect to generates its own template. Employee names, customers, and service items in the template come from that specific company — not a shared list. Importing into the right file means working from the right template.
Safe to re-import
Clients often send an updated version of last week's file, or you notice an error and need to re-run the import. Duplicate detection checks every row against existing QBO entries — re-uploading is always safe, no matter how many times.
Import log per client
Every upload is recorded in the Timesheet Uploads log — filename, date, and a row-level breakdown. When a client queries a time entry, you can show exactly which import created it, from which file, and on which date.
Clients don't need QBO access
Clients fill in the Excel template and email it back. They never log into QBO, never navigate time entry screens, and never cause an accidental data problem in their own accounting system.
