One Wrong Client Mapping. One Misbilled Invoice.
When consultant timesheets live in spreadsheets and QuickBooks entry is manual, billing errors accumulate every week. Time On It imports every hour — mapped to the right client and service item — directly from Excel into QBO.

The Problem
Manual entry is where billing accuracy breaks down
Your consultants track time against named clients and specific service types. Getting it into QuickBooks means 30 minutes of manual entry per week — and that's when everything goes right. One consultant entered under the wrong engagement, one service item mistyped, and the invoice that goes out is wrong. You either catch it before the client does, or you don't.
Over the course of a year, small mapping errors compound into disputes, write-offs, and time spent reconciling what should have been straightforward. The root cause is always the same: manual transcription from spreadsheet to QBO.
How It Works
From inbox to QuickBooks without re-keying
-
1
Connect your QuickBooks account. Time On It reads your client list, employee list, and service items directly from QBO. These become the dropdowns in the template your consultants fill in.
-
2
Distribute the template to consultants. Each consultant fills in their hours for the week — selecting their name, the client engagement, and the service type from the dropdowns. No free-text entry, no guessing how a client is registered in QBO.
-
3
Consolidate and upload. Combine the returned sheets and upload once. The results screen shows exactly what was imported and flags any rows where a client, employee, or service item couldn't be matched — with the specific reason — so you can fix and re-import without creating duplicates.
Why It Matters
Billing accuracy starts with the import
Client mapping is verified
Template dropdowns come directly from your QBO client list. A consultant can't select a client that doesn't exist in QBO. Every row either maps correctly or is flagged for review — nothing silently lands against the wrong engagement.
Service items stay consistent
Consultants select service types from the same list used in QBO. Consistent service items mean cleaner invoicing line items, easier reporting, and no manual cleanup at the end of the month.
Billable hours reach invoices
The Billable column flows directly from the spreadsheet into QBO. Billable hours are available for invoicing immediately after import. Non-billable time is recorded without appearing on client invoices.
Full import audit trail
Every upload is logged with the filename, date, and a breakdown of imported, duplicate, skipped, and failed rows. If a client queries a charge, you can show exactly which import it came from and why it was created.
"We had a near-miss where a senior consultant's hours were billed to the wrong engagement. After switching to Time On It, every client mapping is locked to what's actually in QBO. We haven't had a billing discrepancy since."

The Difference
Before and after Time On It
| Task / Risk | Before Time On It | After Time On It |
|---|---|---|
| Weekly entry time | 30 min per admin, per week of manual QBO data entry | 3–5 minutes to upload and review results |
| Client accuracy | Typos or abbreviations create wrong-client entries | Client selected from QBO dropdown — always matches |
| Billing turnaround | Entry backlog can delay invoice runs by days | Timesheets imported same day; invoices go out on schedule |
| Error discovery | Mapping errors found at invoice time — often too late | Skipped rows shown immediately with the specific reason |
| Audit trail | No record of who entered what, or when | Full import log: filename, date, row count, outcomes |
