Stop Retyping Timesheets on Monday Morning
Your studio tracks time in spreadsheets. QuickBooks wants it entered manually. Time On It imports your Excel file directly — every entry lands in QBO in under a minute, with no re-keying.

The Problem
Two hours of manual entry every Monday
Someone on your team spends Monday morning transferring 40, 60, sometimes 80 rows from a shared spreadsheet into QuickBooks — one entry at a time. A typo in a client name silently fails or creates a new unknown client. A missed billable flag means those hours never make it to an invoice. By the time anyone notices, the client meeting is tomorrow.
At $200–$500/hour blended rate, spending two hours a week on timesheet entry costs more annually than most tools a studio uses. And it's the kind of work that nobody wants to own.
How It Works
Connect once. Upload weekly. Done.
-
1
Connect your QuickBooks account. Time On It pulls your employee list, client list, and service items directly from QBO. This happens once — your data stays current every time you download a fresh template.
-
2
Download the pre-filled template. Your employees, clients, and service items are embedded as dropdown lists in the spreadsheet. Team leads or ops fill in hours by selecting from these lists — no typing names, no guessing how a client is spelt in QBO.
-
3
Upload the completed file. Every row is processed and the results screen shows exactly what was imported, what was a duplicate, and what was skipped — with the reason for each skip. Fix any issues and re-upload; duplicate detection prevents double entries.
Why It Matters
Built for how agencies actually work
Client name matching
Template dropdowns are sourced from your actual QBO client list. "Acme Corp" in your sheet maps correctly to "Acme Corporation" in QBO because it came from QBO in the first place. No more failed imports from abbreviated names.
Billable flag control
Each row in the template has a Billable column. Set it to Yes and those hours flow into QBO as billable — available for invoicing immediately. Internal and overhead time stays off the invoice.
Handles your whole team
Import 80 rows from 12 different employees in a single upload. No per-user upload limits, no splitting the file by person. One file, one import, the whole week.
Safe to re-upload
Someone sent an updated version of last week's file? Re-upload it. Duplicate detection checks whether each entry already exists in QBO before creating anything. No double entries, ever.
"We used to block out 90 minutes every Monday for timesheet entry. Now it takes four minutes. The template dropdowns mean there are no name mismatch errors — every entry goes to the right client."

The Difference
Before and after Time On It
| Task / Risk | Before Time On It | After Time On It |
|---|---|---|
| Weekly import time | 60–90 minutes of manual QBO entry | 3–5 minutes to upload and review results |
| Name accuracy | Typos create unknown clients or cause silent skips | Dropdowns sourced from QBO — names are always correct |
| Billable hours | Billable flag set individually on each entry in QBO | Carried through from the spreadsheet column automatically |
| Re-upload risk | Re-entering a corrected week creates duplicate entries | Duplicate detection makes re-uploads always safe |
| Who can do it | Someone who knows QBO well enough to navigate time entry | Any team member — no QBO training needed |
