Your insights are only as good as your last sync
Importing a spreadsheet gets your time entries into QuickBooks. Syncing is what brings that data - and anything entered directly in QBO or QuickBooks Time - back into Time On It so your Team Insights, Project Insights, and retainer reports reflect it. Pick a date range, hit sync, and every entry in that window is pulled in.
Runs in the background, on your schedule or automatically
A sync doesn't lock up the page while it runs - it processes in the background and you're notified when it's done. You can trigger one manually from the Sync Data page for any date range, and Time On It also runs one automatically immediately after a spreadsheet import completes, so newly imported hours show up in your reports without an extra step.
- ✓ Any date range - a week, a month, a quarter, or a full year
- ✓ Automatic sync after every spreadsheet import
- ✓ Full history of every sync - see it on the Audit Trail
What to expect
The first sync after connecting QuickBooks defaults to the last 30 days, which is usually enough to see your dashboards populate immediately. From there, widen the range any time you want a longer view - retainer reports in particular rely on syncing back far enough to cover a project's full contract period, not just the current month.
Frequently asked questions
Does syncing only pull in time entries I imported through Time On It?
No. A sync covers every time entry in your QuickBooks Online company for the selected date range, including entries created directly in QBO or through QuickBooks Time - not only ones imported through Time On It.
How long does a sync take?
Sync runs as a background job, so you're not stuck watching a loading spinner. Most date ranges complete in well under a minute; the sync history log shows the exact duration and entry count for every run.
Do I need to sync manually every time?
No. Time On It automatically triggers a sync in the background immediately after a spreadsheet import completes, so your dashboards reflect the new data without you needing to remember a separate step.
